How we handle
your information

Information you give us

When you send an enquiry through the contact form or a listing, we collect your name, email address, phone number (if you give it), your message and any details you choose to add, such as what you are looking for, your budget, timeline, preferred location and how you would like us to contact you. If the enquiry is about a listing, we record which one.

When you book a viewing, we collect your name, phone number, email address, any note you add, and the listing, day and time you chose. We keep these as a customer record so our team can confirm the viewing, contact you about it and recognise you if you book again.

Counting listing views

We count how many people view each property and roughly where they are, so we can see which listings and areas interest people. We do this without identifying you.

When you open a listing, our server records:

• that a device viewed it, using a random code your browser keeps (see below). We store only a scrambled form of this code, which can't be matched back to your browser
• your approximate area (country, region and city), which our hosting provider Cloudflare works out from your connection. It is added to a daily count for that listing. It is never stored alongside the device code

We do not store your IP address, browser details, exact location or anything else that identifies you, and we do not link views to your enquiries.

As a result, what we keep looks like "this listing had 4 viewers from Westlands, Nairobi today". It cannot tell us who those viewers were.

Information stored on your device

We keep a little information in your browser's local storage:

• a random device code that our server creates and signs. It lets us count you once per listing rather than every time you return. It contains no information about you
• a copy of the published listings, so searching and browsing work instantly

We do not use advertising or tracking cookies, and we don't look up your location from your browser. Only our staff receive cookies, to keep them signed in to the admin area.

You can remove all of this at any time by clearing this site's data in your browser settings. Your next visit will then count as a new viewer.

Why we use your information

We use your information to:

• answer your enquiries and arrange the viewings you book (with your consent, which you give by sending the enquiry or booking)
• count views of our listings by area, so we can improve the service. These counts are anonymous (our legitimate interest)
• keep the site secure and prevent spam and abuse. For example, we briefly use your IP address in memory to limit how many requests can come from one connection. It is not saved (our legitimate interest)
• meet our legal obligations

We do not sell your information, and we do not use it for automated decisions that affect you.

Who we share it with

We use trusted service providers that process information for us:

• Supabase, which hosts our database
• Cloudflare, which hosts the website and stores listing photos. As part of delivering the site, Cloudflare sees your IP address and tells us your approximate area
• our email provider, which sends replies to enquiries and viewing confirmations

Some of these providers store data outside Kenya. Where they do, we rely on the safeguards the Data Protection Act requires for transfers out of Kenya. We may also share information when the law requires us to.

How long we keep it

We keep enquiries, viewing bookings and customer records for as long as we need them to handle your enquiry or viewing and any resulting sale, rental or management agreement, and for as long as the law requires after that. Scrambled device codes are deleted after 12 months without a visit to that listing. Anonymous daily view counts contain no personal information and are kept while the listing is on our site. All view records for a listing are deleted when the listing is removed.

Your rights

Under the Kenya Data Protection Act, 2019, you have the right to:

• be told how your information is used
• see the information we hold about you
• object to our processing of it
• have inaccurate or misleading information corrected
• have false or misleading information deleted

To use any of these rights, contact us using the details below. If you are not happy with how we handle your request, you can complain to the Office of the Data Protection Commissioner (www.odpc.go.ke).
